This privacy policy explains how Kat So, trading as Kat So Coaching, collects, uses, and protects your personal information when you visit katsocoaching.co.uk or get in touch with me. I am a sole trader based in the UK, and I am committed to handling your data responsibly and in line with UK GDPR and the Data Protection Act 2018.

What information I collect

  • I collect personal information when you:

  • Fill in a contact or enquiry form on my website (typically your name, email address, and any message or details you choose to share about your coaching goals)

  • Book a chemistry session, coaching session, or consultation with me

  • Email me directly

  • Visit my website (via cookies and analytics, see the Cookie Policy for details)


I do not collect any special category data (such as health information) unless you choose to share it with me as part of the coaching process, and I only use this to support our work together.

Why I collect it and my legal basis

  • Responding to your enquiry — I collect your name, email, and message content, on the basis of legitimate interest and taking steps prior to entering a contract.

  • Delivering coaching services — I collect your name, email, session notes, and goals discussed, on the basis of performance of a contract.

  • Understanding how visitors use my site — I collect analytics data (see Cookie Policy), on the basis of your consent.

  • Sending you information you've requested — I collect your email address, on the basis of your consent.

  • I do not use your data for any purpose beyond what's outlined above, and I do not sell or rent your personal information to any third party.


​​How long I keep your information

  • Enquiry form submissions that don't lead to coaching work: kept for up to 12 months, then deleted.

  • Client records (session notes, contracts, invoices): kept for the duration of our working relationship plus 6 years, in line with standard UK record-keeping practice for tax and professional purposes.

  • Analytics data: retained according to the default settings of analytics tool, e.g. Google Analytics, typically 14–26 months.


Who I share your information with

  • I may share limited information with:

  • Service providers who help me run my business (e.g. website hosting, email providers, scheduling/booking tools, analytics providers). These providers only process data on my instructions and are bound by their own data protection obligations.

  • Legal or regulatory bodies, if required by law.


I do not share your information with any other third party for marketing purposes.

Your rights
Under UK GDPR, you have the right to:

  • Ask what personal data I hold about you and request a copy

  • Ask me to correct inaccurate information

  • Ask me to delete your information ("right to be forgotten")

  • Object to or restrict how I use your data

  • Withdraw consent at any time (e.g. unsubscribe from emails)

  • Complain to the Information Commissioner's Office (ICO) if you're unhappy with how your data has been handled (https://ico.org.uk)

How I protect your information
I take reasonable technical and organisational steps to protect your data, including using a secure (HTTPS) website, reputable third-party tools, and limiting access to your information to what's necessary to deliver my services.
